Save time on your HR processes with these 6 tips

What are HR processes?

HR processes are the ways of working you set up to carry out administrative tasks within your organisation, such as conducting HR conversations. How to automate administrative tasks in the HR process

Here are six tips to set up your HR processes more smartly (some may seem obvious, but that doesn’t make them less important):

1. Map out your HRM processes and challenges

Before you start improving your own HR processes, it’s important to have insight into your current HR processes. Identify which HR processes currently exist and then start analysing the challenges within those processes.

2. Conduct an employee satisfaction survey (ESS)

Want to know where the challenges lie within your HR processes? We recommend asking your team for feedback. What do both current and new employees think about the atmosphere at work, the tasks and the overall collaboration? Based on an employee satisfaction survey (ESS), you’ll discover where the real challenges lie within your HRM processes. An employee survey is an essential part of optimising internal processes, especially for HR. That’s because employees are the engine of your organisation. Input from the right employees helps you prioritise development within the organisation. When the process is set up properly, you will ultimately see this reflected in performance, the progress of company goals and overall results.

3. Define improvements in the process and prioritise them

Set priorities and dare to choose where you spend your time. Create a time vs impact matrix. Are there actions with high impact that take very little time? Just get them started straight away in January.

4. Ask for help within your team

Phew, optimise your HR process as well? But you also have to run your business, handle sales, come up with marketing ideas, and everything else that lands on an entrepreneur’s plate. And as an HR manager, you’re already busy with administration (HINT: stop using Excel, start using HoorayHR!).

So for every priority you’ve defined, ask yourself: ‘Do I need to do this myself right now?’. Dare to ask for help. For example, don’t have time to conduct an ESS? Involve colleagues in your team who would enjoy getting this survey started. Be open with your team about who is running the survey. This will save you a lot of time!

5. Record your HR processes in a human resource management system

It’s important to have your process clearly mapped out. Record your processes, for example your onboarding process. This allows you to assess which improvements you implement and whether they actually improved the process. Finally, other colleagues will also understand exactly how this process works. This saves time and prevents you from reinventing the wheel every time.

6. Improving HRM processes

Finally! Think in small steps, tackle improvements you can pick up quickly straight away and create a rhythm. A rhythm ensures that improvement becomes a continuous process and helps you keep your workload manageable. For example, make improving HR processes part of your monthly meetings or set up a simple Google Form where colleagues can leave feedback and tips, so you can review them monthly.
